Problem/Motivation
- We need a booth at Drupal Europe, which will be staffed by volunteers who will encourage exhibit hall visitors to attend the Friday contrib time, and to become a mentor if they already have experience contributing to core.
Need to organize mentor leads. For more information visit the Core Mentored Sprint Lead Roles page.- Need to choose recipients for mentor tickets
- Goal- get many participants set up with tools *before* the friday contrib time - Brian/@realityloop & Quicksprint?
Proposed resolution
- Booth kit
- Mentoring signup spreadsheet is here aka spreadsheet of awesomeness
- Contribution signup sheet is here
- Meta Meeting 8 Aug
- Meta Meeting 22 Aug
- Retrospective doc for Drupal Europe here
Remaining tasks
- msg DE contact person and ask to be sent the standard sponsor info that sponsors get about the booth, that should have the setup and teardown time info in it. [Elli pinged DE channel 8/23]
share spreadsheet of awesomeness with Drupal Europe planning folx- Booth staffing +
Make sure we have a Booth tab on the Mentor SpreadsheetUpdate dates/times and locations for BoFs etc in the booth instructions.- Make sure that people sign up!
- Email templates should be reviewed and re-used from #2479605: Email communications with mentors and if makes sense in a follow-up document it in the Mentoring Documentation for later usage.
- Lessons learnt from previous Cons speeches: #2476909: Propose relevant sessions Move it to the documentations.
- Let's reuse the blog post for sprints: #2341025: Blog about getting ready for DrupalCon sprints. Move it to the documentations.
- Provide estimate of attendees from spreadsheets for lunch?
- Slides for booth & workshop- @Tatarbj
- Promote the whole thing- contribution tickets, workshop space is pretty, be there monday and friday, etc + meta meetings
Mentor identification! @ekl1773 is looking into sponsorship for custom printed ribbons (pdf of mentoring druplicon here) and will probably also design and coordinate ordering from hereSent to Gábor and to printerirc/slack factoids in the mentoring channel: See drupaleu? drupaleurope? darmstadt?- Take a closer look through the [META] Drupalcon related issue for other thoughts, and see meeting transcripts as soon as they're posted
- Sprint tools update: update to 8.7.x (pending), fix for Docker Toolbox/Windows Home, fix using https:// instead of git:// URL in case that URL is blocked, more testing needed for latest builds. @rfay mentioned drud having some time to help review quicksprint in the upcoming weeks. @mradcliffe is on this
Items needed for booth etc
- @zelfje should have a manifest list from @mradcliffe of items in the mentoring box (starred below). Suggested amounts of stickers etc from @greggmarshall = 25% of attendance. VERIFY the things are all present at beginning of the week!
- *Sprint cards
- *Sprint stickers
- *Name stickers (“Hi my name is…”, enough for 25% total sprint attendance)
- Flipchart easels will be provided by the venue for all furnished areas
- Banner and banner stand?
- Print out of the booth instructions for mentors who sit at the booth
- Optional: A monitor, with a memory stick with "slides". This might be re-used on Friday for small workshop presentations after the first workshop is done.
- First timers workshop will have seating/electric for ~100 + a projector

ekl1773Just added some formatting for readability. Thanks @mradcliffe for the factoids!
tatarbjI've added my name to the sheet and pointed me to help with mainly contribs contribution. I have a few RTBCs to core (mainly security improvements) and I'm also glad to help with greet people if it makes sense and coordinate them in the contribution area. Whatever is needed on Friday, I commit myself to help to make it amazing for everyone! :)
tatarbjI'm taking the role of 'Mentor Booth Lead' in Darmstadt - will be there whole Thursday (except during my session) and Friday. I'm OK to work remotely before to help other folks being my backup in the conference before i arrive.

ekl1773Adding the retrospective doc. Which, in retrospect, maybe should be an issue here as well but this way we have the formatting.

zaporylieI was mentoring one of the tables (our patches got into Drupal Core during the sprint, yay!) and helped to organize a table and mentor for the non-developer group. It was a pleasure to be there with all of you 🤗

colorfulCoder CreditAttribution: colorfulCoder commentedAs suggested by the Slack channel, I'm leaving a note here of what I did :)
I was mainly at the greeting desk, helping contributers get to the right room for their purpose & experience level.
After that, sat at a mentoring table for a few hours together with @tatarbj, helping out where I could and contributing a bit myself.

dpacassiI was happy to mentor new people into contributing to Drupal. I've helped a few with setting up their local installations and gave a short introduction into Git, Composer and drupal.org. One core issue is still on
Reviewed & tested by the community
but we hope it makes its way into core soon.Comment #27

Sutharsan CreditAttribution: Sutharsan commentedAt Drupal Europe, I watched over the mentored core sprint room on Friday. I welcomed the people that came in, introduced them to a mentor. Further I mentored some first-time mentors by regularly checking you they were doing and watching out for signals of stagnation, lacking communication and kept in touch with the mentor's well being.

valthebaldAt Drupal Europe, I spend about half a day on the mentors' booth. During the sprint day (Friday), I was on a table together with @michaellenahan, and helped new contributors to pick and work on tasks
