Every church and workplace I've ever been associated with has the problem of managing its class room or conference room spaces. Our office manager spends much of her time allocating meeting room time to the 40 or so activities using space in our building.

  • Our youth coordinator and religious education director have a dual problem conceptually. They must provision teachers for 10 RE activities meeting each week.
  • Our music director has to line up accompanists and program music for each week's service.
  • Our sexton has to line up sound and light techs for each week's service
  • Our membership committee has to line up ushers for each week's service
  • Our coffee host lead has to line up hosts for each week's coffee hour after service

So we are managing 5+ different calendars and some people serve in multiple roles. I tried to use the staff type to represent me (sound and lights and coffee hour). The staff model won't work because I have 2 roles (not uncommon in our community). And I have to schedule sound and light (scheduled quarterly) around coffee hour (scheduled for the year). One is modulo 4 weeks and the other modulo 10 weeks so they keep colliding.

When our office manager is scheduling rooms or our DRE is scheduling a class, they need to see the events for that one room or class. Our rooms have very different sizes. Two are suitable for groups of 20 or so and 3 for small groups with the sanctuary and social hall for large events. And we can only use a resource once. For example, I can't mix sound and do coffee on the same Sunday because I've not figured out how to be in two places at once. Both roles have pre-service and post service duties.

So here is a potential workaround. If you just fill out the first line of the location with the room name like 'Meeting Room 1', 'Youth Room', 'Family Life Center', etc. for each event won't that make it easier to schedule things on the calendar?

OK it does look like I need to add the first line 'location name' to the event calendar so that you can see the location underneath event titles. I think I'd also like to enable the weekly and daily calendar views which make it easier for someone to inspect a day's events for scheduling.

You can customize the view if you would like - at /admin/structure/views/view/openchurch_events_calendar/edit/page_1.

I played around with it on 2x and decided it takes up too much space to include the location for most events. I did push up a change to 2x dev to fix the repeat rules and use a shorter date.
